To support the continued growth of Hitachi Construction Machinery UK Ltd (HCMUK), we are looking for a Assistant Administration Manager to join the Admin Team based from Hebburn. The basic hours are 40 hours per week, although some additional hours can be expected. Your duties will include:
Lead and manage the Company’s accounts payable and accounts receivable functions including a team of people who are responsible for processing invoices, payments, customer/supplier reconciliations and GRNI;
Participate in the effective management of the Company’s working capital through direct management of parts and service debtors including credit and trade references (where appropriate), liaising with stakeholders to resolve queries or complaints efficiently and reconciliation of customer payments.
Production of working capital reporting on a monthly and ad-hoc basis, including analysis for senior managers.
Ensure all administrative procedures are correctly adhered to whilst providing continuous improvement of processes and systems.
Building relationships with internal and external stakeholders including liaising with company departments on a regular basis, including production control, purchasing, product support and procurement the sales team / sales administration team.
Management of the Company’s reception, visitor acceptance and national call handling functions;
Carry out appraisals on all members of the department.
Ensuring training records are kept up to date.
Authorise invoices in line with Company authorisation matrix.
Ensure accurate financial records are maintained in line with legislative and HCM document retention requirements.
Ensure that finance processes and procedures are in place and kept up to date.
Skills, Knowledge & Abilities
GCSE Maths and English (Grade C or equivalent).
Demonstrable experience in similar role, minimum of 4 years’ experience.
Strong communication, change management and stakeholder engagement success.
Ability to lead a team and influence executive leadership across functions.
Ability to manage change and comply with internal and external business processes.
Excellent time management skills, be a forward thinker with the capability to plan ahead with strong organisational and planning skills in a fast-paced environment.
Ability to work under pressure, with the aptitude to think on your feet and resolve issues that may arise.
Has a “can do/ will do” attitude.
